Licensing Compliance Administrator

About the Position

We are looking for highly motivated individual with 2 years of experience working in/and or managing licensing compliance. The individual is responsible for researching, preparing and filing applications for licenses, both new and renewal, as well as. They will also maintain records of license renewals and assist in the negotiation of license agreements. This position requires excellent attention to detail, organizational skills and knowledge of the legal and regulatory aspects of licensing.

 

Additionally, they will establish databases or recordkeeping policies and strategies to track the status of applications and forms. The Licensing Compliance Administrator will also provide guidance and support to other departments regarding the licensing process and will coordinate with outside agencies and vendors to ensure that all required licenses and permits are obtained and maintained.

 

The successful candidate will possess the ability to prioritize, multi-task, work and solve problems independently with minimal supervision.  The candidate must also be proactive in identifying and resolving issues, anticipate and deliver on the needs of a fast-paced and innovative environment, be comfortable working with cross-functional teams, adapt to an agile environment and field escalation requests and issues, and have the flexibility to simultaneously manage a wide range of projects and business demands.

The role will require some travel to headquarters in Minneapolis, MN, etc.

Key Responsibilities & Accountabilities

Ensures CRF adheres to relevant laws and regulations regarding licenses and permits, managing applications, interpreting regulations, and serving as a point of contact for licensing agencies.

NMLS Coordination: Oversee the NMLS licensing process from start to finish, including submission, updates, renewals, and status tracking.  Ensure all NMLS-related activities comply with federal and state regulations.  Monitor changes in NMLS requirements and industry regulations and adapt processes accordingly.  Act as the primary point of contact for internal teams regarding NMLS-related inquiries.

Regulatory Compliance  Work closely with internal compliance, legal and the business units review regulatory changes and their impact on licensing.  Conduct regular audits to ensure ongoing regulatory compliance and identify areas for improvement.

Licensing Vendor Management:  Serve as the primary contact for third-party licensing vendors, overseeing the relationship and ensuring the timely and accurate delivery of licensing services.  Manage vendor contracts, performance, and service-level agreements (SLAs) to ensure compliance with established standards.  Collaborate with licensing vendors to streamline processes and resolve any issues that may arise.  Continuously assess vendor performance and recommend adjustments or changes as needed to improve efficiency.

Stakeholder Engagement:  Engage with internal stakeholders to ensure licensing activities are carried out in an efficient and timely manner.   Communicate effectively with external stakeholders, such as state regulators, industry associations, and other licensing bodies, to ensure compliance and resolve any issues.  Provide regular updates and reports to senior management on licensing statuses, compliance metrics, and vendor performance.

Process Improvement:  Identify opportunities to improve licensing processes and workflows, working to implement more efficient systems and technologies.  Maintain comprehensive documentation of licensing and compliance processes, ensuring consistency and transparency.

Training and Support: Train internal teams on licensing processes, NMLS and state requirements, and regulatory standards.  Provide ongoing support to internal stakeholders on licensing status updates, regulatory inquiries, and vendor coordination.  Serve as a trusted advisor to business lines. Build and maintain effective working relationships with internal and external stakeholder groups. Work in partnership with other members of the Risk and Compliance Team to establish best practices across all businesses. Proficient in Microsoft programs (e.g., Word, Excel, PowerPoint) and technology.

About You

  • A minimum of 2 years’ experience working with licensing compliance.
  • Solid understanding and ability to navigate regulatory compliance systems such as NMLS.
  • Strong knowledge of state/federal regulations and licensing processes and licensing systems.
  • Experience with commercial or mortgage licensing.
  • Ability to interpret, solve and explain complex regulations, analyze data and provide accurate information.
  • Exhibits excellent communication, strong interpersonal skills and a high level of attention to detail.
  • Proactive in identifying and resolving issues.
  • Able and willing to work collaboratively on cross-functional teams in an efficient and productive manner to effect change and achieve common goals.
  • Strong commitment to client service.
  • Adapts style to differing audiences and often advises others on difficult matters
  • Strong written, verbal, and interpersonal communication skills
  • Ability to thrive in a fast-paced environment and successfully manage tight deadlines with minimal to no supervision and across multiple time zones

Key Competencies & Preferences

  • Bachelor’s Degree in Business Administration or equivalent.
